Maintaining a shared mailbox
Most email clients do not enable you to administer a shared mailbox. To see more about the different email clients available see the BUCS email overview page.
You can administer a shared mailbox by using the Shared Mailbox Manager.
How to use the Shared Mailbox Manager
Once signed in to the shared mailbox manager you will be given the option of opening a mailbox in two ways:

- If you know the name of the mailbox you can do a direct search
- Otherwise the drop down list will show you the names of the shared mail-boxes from which you can make a choice.
Once a mailbox has been chosen you will see a blue screen appear.

Here it is possible to:
- See all existing members
- Add new members
- Apply/ remove permissions
ACL (Access Control List) Favorites
To enable you to quickly apply permissions on the form we have provided 4 of the most popular ACL options:

- Read = See the mailbox, read the contents and then mark them as seen
- Write = See the mailbox, read the mail, save mail, delete mail, insert, post or copy to the mailbox and create sub mail boxes.
- Post = Send email straight to a sub mail folder.
- None = Remove all permissions from the selected user.
What are Permissions
An ACL is made up of groups of individual permissions. These are the singular rights that you can give to members of a shared mailbox. Adding or controlling permissions is the full responsibility of the mailbox administrator or owner. It is important to remmember when granting access rights to a mailbox, the username, not the email alias needs to be used.
List of Permissions
This is the list of singular Permissions that can be granted:
- (Admin) The user will be able to modify the ACLs for this mailbox.
- (Lookup) The user will have permission to see this mailbox.
- (Read) The user will be able to read the messages in this mailbox.
- (Seen) The user will be able to mark messages as read (seen).
- (Write) The user will be able to set message flags: i.e. to mark messages as answered or "flagged” and to reset the message flags.
- (Delete) The user will be able to mark messages as deleted and to compress the mailbox.
- (Insert) The user will be able to append messages to this mailbox and to copy messages from other mailboxes into this one.
- (Post) The Email will post directly to the mailbox or sub mailbox.
- (Create) The user will be able to create new submail boxes "inside" this mailbox.
Applying settings to subfolders
Permissions chosen can also be applied to subfolders by clicking on the check box found below adding a new member:
