Viewing a shared mailbox

Please select the heading that shows your email client for instructions on how to view a shared mailbox.

Please note: In order to print a section you must first expand it by clicking on a heading, then check with print preview.

Mozilla Thunderbird

To view a new shared mailbox:

  • Right click on your Inbox and select Subscribe
  • If you have access to any shared mailboxes you will see a user entry under your INBOX entry. Drill down through user until you find the folder you are interested in
  • Tick each folder you are interested in and tick the checkbox
  • Click OK, and you will see the folder appear in Thunderbird's 'All Folders' view after a few seconds

To check a shared mailbox automatically:

  • Right click on the folder and select Properties
  • Tick the 'Check this folder for new messages' box and click OK

Webmail

To view a shared mailbox:

  • Select the Folders icon from the main webmail menu
  • Select the show unsubscribed folders option from just above the folder list
  • To reach a shared mailbox expand the User folder to see it's subfolders"
  • Select the shared folder and subfolders that you require
  • From the Choose action drop down menu, select the "subscribe to folder(s) option
  • you should then get a message confirming the subscriptions and be able to see the folders from now on

The folder name may contain a prefix of user.department-shared, rather than just user. .

Outlook

To view a shared mailbox:

  • Select your Inbox under University Folders
  • Click on Tools | IMAP Folders
  • Select the Show All Folders tab and then click on Query. Your shared mailbox(es) should appear near the bottom of the list
  • Select the relevant folders and the click on Subscribe. An icon will appear next to each folder
  • Click on OK and the folder should now appear at the bottom of your list of folders contained as a subfolder of the user. folder

To check a shared mailbox automatically:

  • Go to Tools | Options
  • Click on the Mail Setup tab and click the Send/Receive button
  • Click Edit and select the shared mailbox(es) you wish to get notifications about by ticking the box next to each one (remember shared mailboxes exist under the user. heading rather than your Inbox)
  • Click OK
  • Now, when you click Send/Receive, Outlook will also check your shared mailbox(es) and notify you when new email arrives

Mulberry

To view a shared mailbox:

  • Mulberry will usually show any shared mailboxes you have access to automatically. The shared mailboxes will appear under the user hierarchy underneath your own mail folders
  • If you can't see your new mailbox, right click on any folder and choose Display Hierarchy | Reset All then click on OK

To check a shared mailbox automatically:

  • Right click on the shared mailbox
  • Tick Check for New Email with Style and ensure that is set to Default, then click OK
  • On the left you will see a number of grey section headings. Expand the one titled Check Favourite
  • When new messages arrive the folder name will turn pink

Pine

Pine will give you access immediately; from the main menu press L to list folders, then select (use cursor keys to highlight then press Enter) the folder marked Shared. You will then see a list of possible department shared folders, select the relevant folder, then select the relevant shared mailbox you wish to access

Mozilla Mail (also applies to old Netscape email program)

You will need to subscribe to the shared folder for it to be viewed in Mozilla (formerly Netscape). Select your Inbox, then from the menu bar click on File then Subscribe a subwindow will now open. Select the All tab and then expand the user folder to give the department folders, expand the department folder for your shared folder. Having selected the appropriate shared folder, click on Subscribe the folder will then show up at the bottom of your tree of folders, they will be as a subfolder within the relevant user.department shared folder.

Outlook Express

Unfortunately, due to the way that Outlook Express presently handles IMAP namespace it is not possible to view multiple shared folders using it as a program. Folders held under a single department shared folder can however be seen in Outlook Express 6.

  • Click on Tools | Accounts
  • Select your Bath email account and click Properties
  • Click on the IMAP tab
  • In the Root folder path enter user. (including the trailing dot)
  • Click on the IMAP Folders button and click on the All tab
  • Scroll down and select the shared mailbox, then click on Show, then OK

Windows Live Mail

To view a new shared mailbox:

  • Right click on your Inbox and select IMAP Folders
  • If you have access to any shared mailboxes you will see the folder under the All tab.
  • Select each folder you are interested in.
  • Click Show and then OK, and you will see the folder(s) appear in Windows Live Mail's 'All Folders' view after a few seconds

To check a shared mailbox automatically:

  • Right click on the folder and select Properties
  • Tick the 'Include this account when receiving mail and synchronizing' box and click Apply
