How to use the University Print Service to print, copy and scan your documents.

Printing from your own laptop, Mac or Linux computer

The University Print Service has two print queues – UPS1 and UPS2. You should select one of these as your printer in order to print to a University printer. Do not use UPS 1 mobile or UPS 2 mobile.

Before setting up your device or printing, make sure you are connected to the eduroam Wi-Fi network.

Set up your Windows device

  1. Download and run the University Print Service installer
  2. Select 'Run' – you may be asked to confirm that you accept that the program Windows, University Print Service.exe will make changes to your computer
  3. Select 'install' - you will see Pharos and Sharp modules downloading

You will be able to select UPS1 or UPS2 as your print queue.

Windows 10 users may only see one printer within the 'Printers and Scanners' window. This is expected and due to the way Windows displays multiple printers that use the same port. Both printers are there and can both be seen by selecting where it says UPS1 or UPS2. This will prompt a dropdown where both UPS1 and UPS2 can be selected.

Set up your Mac

Download and run the University Print Service installer.

Staff Printing from a University Mac with Self Service (staff only)

  1. Open the ‘Self Service’ app on your Mac
  2. Select the ‘Setup’ button under ‘University Print Service’
  3. Wait for the setup to complete

Set up your Linux device

  1. Download and run the University Print Service installer.
  2. Log in to EveryonePrint using your University username and password. Your username is on your library card
  3. Select 'Driver Print'
  4. Select ‘Linux’
  5. Select 'Advanced (3)' and then select 'Continue'
  6. Follow the displayed setup instructions

How to change your default printer

You may need to change your default printer setting to UPS1 or UPS2. Once you have done so, you will be able to collect documents from any University printer.

To set your default printer in Windows 7

  1. Open the ‘Start’ Menu
  2. Select ‘Devices and Printers’
  3. Select the printer you would like to set as your default
  4. Select ‘Set as default printer'.

To set your default printer on a Mac

  1. Open ‘System Preferences’
  2. Select ‘Printers & Scanners’
  3. Select either ‘UPS1’ or ‘UPS2’ from the ‘Default printer’ dropdown

To set your default printer on Linux

GUI (Graphical User Interface)

  1. Open ‘Printers’
  2. Secondary-click on ‘UPS1’ or ‘UPS2’ and select ‘Set As Default’

In the Command Line

  1. Open a terminal
  2. Type either ‘lpoptions -d UPS1’ or ‘lpoptions -d UPS2’

Printing from University PCs

Your computer or device should be set up to print to the new University Print Service.

When you select to print a document, you should see either 'UPS1' or 'UPS2' as the 'Printer' on a PC, or 'Destination' on a Mac. You can print to either of these and pick up your document from any University printer.

If neither 'UPS1' nor 'UPS2' is available to select, follow the instructions above on 'Printing from your own laptop, Mac or Linux computer'.

The University default setting for all printing is black and white, double-sided.

If you want to change this, you'll need to edit the settings in your print window before you submit your printing job.

Collecting your documents

You can collect your documents from any University printer.

  1. Log in by placing your University ID card on the card reader. If you have forgotten your card, you can log in using your University user name and password. Press the 'Forgot Card?' button on the Home screen and follow the on-screen instructions
  2. Select your department, project code or personal credit account. Read about department and personal print codes
  3. Select the 'Print' option from the menu
  4. Select the document you wish to print from the list

Use the 'Home' button to return to the main menu at any time.

Note that our printers no longer have a ‘Print and Keep’ function. This means your document will disappear from the print list when you press 'Print'.

Print jobs will remain available for printing 72 hours after the print job was sent. Once the print job is printed or deleted it will no longer be available.

Verification

You will be prompted to enter your University username and password when you send the first print job from your own device or a Mac. Your details will be retained for that session.

If you log off your device and restart it at a later time you will be prompted to enter your details again.

If you have a Windows device and access the system via UniDesk, you will not need to enter your username and password to print.

Wrong password prompt

If you are asked to enter your username or password at your PC, Mac or Linux computer and you enter your username incorrectly, the software client will retain those incorrect details. This will result in you being unable to print.

This can be resolved by either:

  • logging out or restarting your computer. Then log back in again. You will be re-prompted for your username and password when you next attempt to submit a print job

Or

  • clear the saved password using the Pharos Popup Client Configuration utility

To use the Pharos Popup Client Configuration:

On Windows: Select Start Menu > Programs > Pharos > Popup Client Configuration utility > Select ‘Clear Saved Answers Now’.

On a Mac: Select Macintosh HD > Library > Application Support > Pharos > PopupConfiguration.app > Select ‘Clear Saved Answers Now’.

Scanning and copying

  1. Log in by placing your University ID card on the card reader. If you have forgotten your card, you can log in using your University user name and password. Press the 'Forgot Card?' button on the Home screen and follow the on-screen instructions
  2. Select your department, project code or personal credit account. Read about department and personal print codes
  3. Select 'Scan' or 'Copy' from the main menu
  4. Follow the on-screen instructions

Scanning options

You can convert the scanned document to a PDF, TIFF or JPEG.

Once you have scanned the document you can choose to:

  • print it
  • email it to yourself or any other email address
  • save it to your H: drive

Copying options

Before you copy a document, you can select the number of copies required and the colour settings.

Printing and copying labels

Printing labels

If you're printing from a PC:

  1. Select 'File' then 'Print'
  2. Select 'Printer Properties'
  3. On the Basic Settings tab select 'None' from the '1-sided/2-sided/Booklet Printing' drop-down list
  4. Select the 'Paper Source' tab
  5. From the 'Paper Tray' drop-down list, select 'Bypass Tray'
  6. From the 'Paper Type' drop-down list, select 'Labels'
  7. Select 'OK'
  8. Select 'Print'
  9. At a University printer, pull out the Bypass Tray from the right-hand side of the printer and place the labels face down into the tray
  10. Log in to the printer and print your labels file

Copying labels

  1. At a University printer, pull out the Bypass Tray from the right-hand side of the printer and place the labels face down into the tray
  2. Log in to the printer
  3. Select 'Copy'
  4. Select 'Paper Select' from the left-hand side of the screen
  5. Select 'Type and Size'
  6. Select 'Labels'
  7. Select 'OK'
  8. Select 'A4 Labels' (the box will become highlighted in blue) – 'A4 labels' appears below the Bypass Tray
  9. Select 'OK'
  10. Set the number of copies
  11. Select 'B&W' or 'Colour Start' and the labels will be photocopied

Failures to print or scan

Printer server failure

There are two print servers through which print jobs are routed, which you access by choosing to print to either UPS1 or UPS2. Under normal circumstances, printouts can be collected from any University printer, regardless of which print server it is sent to.

If a problem occurs with one print server, you can still print to the other printers. Printers with a reference ending in an odd number are connected to UPS1, and those with an even number are linked to UPS2. The reference number can be found on a black sticker on top of the printer.

If your original job was stored on the failed server you would need to send it to print again to the second print option.

If your document doesn't scan

When scanning small items (such as receipts or tickets), the scanner can occasionally fail to start. This is due to the item being too small to trigger the detection sensor. For scanning small items we recommend placing them onto a sheet of paper and scanning the whole sheet.
