Telecommunications Services

We have recently installed a Telephonetics ContactPortal® system to work with our new telephone system. The ContactPortal® acts as a virtual operator and will initially be operational when the switchboard is busy.

ContactPortal® enables you to do several things :

  • Say the name of the person or department you want to speak to (the contact must be in the corporate directory).
  • Search for a phone number using your phone

The system recognises the name and confirms it before it starts to dial. To stop the number being dialled say 'cancel'.

If you find that the name of the person or department you require is not recognised by the system after 2 attempts, it usually means that the name is not in the directory. You will then be transferred to the Operator.

Feedback - Telephonetics will be monitoring and tuning the ContactPortal® over the next 12 weeks; your feedback on the system is essential to make the system a success.

The contacts available on the ContactPortal® come from our in-house directory; therefore please let us know if there are any updates or amendments you think are needed.

      Conference Calls

      A conference call enables up to 6 telephone users to speak to each other at one time.

      When to use it

      You may set up a conference call when you wish to consult with a number of colleagues at the same time.

      How to do it

      When you are aready in communication with the first party of the conference :

      1. Press the Recall 'R' button and listen for holding dial tone.
      2. Select extension or outside number of the person to be added (abbreviated codes may also be used).
      3. Inform the person who is going to join the conference
      4. Press Recall 'R' to receive dial tone and select '*' and '4'.

      The call is now joined to the conference.

      Fault reporting procedures for all faults except student residences

      With the exception of residential faults, the following procedures should be adopted:

      • If you are experiencing a fault with your telephone, please carry out a first test yourself by changing your telephone for one which is known to be working and plug this into the socket (i.e. removing double adaptors, extension leads etc).
      • If the fault persists, it can be concluded that the line is faulty and should be reported to the switchboard operators by dialling '0' and giving full details of the fault, the extension number and location and a contact name and number.
      • If it is found that the telephone is faulty this can be taken to the Telephone Exchange and changed for a new telephone.

      Residential faults

      • In the first instance students should get a replacement phone from the Residential Services Centre on campus, or from the Housekeeper at off campus locations.
      • If this does not clear the fault, then it should be reported to the RSC on campus and to the Housekeeper off campus, giving full details of the fault, including extension numbers, exact numbers, exact locations and a contact name.

      Voicemail (except Student Residences)

      If you wish to use voicemail, please send an email to telephone@bath.ac.uk giving your extension number and your name, also stating whether you would like email notification of messages. You will then be sent the Voicemail user guide (also available just by clicking on this link). Once you have recorded your message, it is important that you email us again, stating that you have created your message and requesting us to make you live on the system.

      Alterations to telephone installation (Office moves)

      In order for the University to hold appropriate details of its telephone extensions and cabling and to ensure that full maintenance cover is available on the telephone system, up to the socket outlet, it is important that all alterations to the telephone system are controlled. Detailed requests for alterations should be made giving an indication of timescales. If system programming can do alterations, i.e. swapping numbers, one working day's notice will be sufficient.
