Changes in circumstances (mode of attendance, course withdrawal & suspensions)
General
- For undergraduate and postgraduate taught students most changes
of circumstance are communicated to the Registry and Examinations Office
(SREO) via
the appropriate Change of Circumstances form. It is important that the correct
form is used for each group of students and type of change, and
that the appropriate authorisation is obtained and indicated on the
form.

- In some cases other means of communication are used (e.g. pass lists
for progression or failure and summary Board of Studies papers
for most postgraduate students’ changes.) Refer to SREO pages

Withdrawals:
- The department should follow the above guidance
- Once the SREO
has updated the students record the student finance office will adjust
their fees accordingly
- Any student who is worried about the financial
implications of withdrawing from their course should be referred
to the Student Services
for advice
Undergraduates (all students):
- If the student is making a contribution towards their fees we
will pro rata their contribution based on the number of weeks that
they have
been actively studying during the standard 31 week academic year
- Any excess
that the student has paid will be refunded back to them
- If a student who
is fully funded by a Student Loanwithdraws before December 1st then the
University receives no tuition fees from the SLC and the student is liable..
Postgraduates (all students):
- The students fees will be adjusted pro rata based on the number of
weeks that they have been actively studying.
- Any excess that the student
has paid will be refunded back to them.
- Student’s whose fees are
funded by a sponsor will be treated in the same way with the exception
of Research council funded students
who
must be in attendance on the 1st of December and the 1st April, 1st July and 1st October in
order for the University to receive the tuition fees

Suspensions:

- Once
the SREO has updated the students record the student finance office

- Any student who is worried about
the financial implications of suspending from their course should be
referred to the Student Money Service for
advice
- Students will be charged tuition fees for any period of attendance
in the same way as students withdrawing from a course
- Any excess that
the student/sponsor has paid will be refunded back to them or their
sponsor
- Undergraduate students must also inform the SLC
so that their award can also be suspended
- Generally they will not be
entitled to any maintenance or loan for the period that they are
in suspense
