GUIDE TO THE FINANCE OFFICE

Although we have made great efforts to write this document in a user friendly style which avoids jargon, we realise that some parts of it may still cause difficulty for first time users. We felt therefore that we should provide a list of contacts to whom people could turn for advice and that it would be helpful to provide a brief description of the way in which the Finance Office is organised. A list setting out the main areas of activity and the contact points for queries about each area is on the World Wide Web (http://www.bath.ac.uk/finance/).

Where is the Finance Office?

If you need to visit us you will find the Cashier’s Office and the Student Finance Office on the third floor of Wessex House, with the other sections of Finance on the fourth floor.

How is Finance organised and what does it do?

There are six basic groups within the Finance Office. These reflect the different roles carried out.

  • One section deals with all payroll and pension matters.
  • A second group deals with all payments to creditors, that is, invoices and expense claims.
  • The third group is responsible for billing and collecting monies due to the University, and for making most of the University's cash payments, as well as receiving money paid into the University, either in cash or by cheque, including foreign cheques.
  • The fourth group deals with accounting for Research grants and contracts, consultancies, short courses and royalties.
  • The fifth deals with Student Finance.
  • The sixth and final group deals with all technical accounting matters including systems and systems development, financial planning, and providing financial advice to Departments and University Committees. It also produces the annual accounts and the estimates.

Is Internal Audit a part of the Finance Office?

Internal Audit is an independent unit responsible for conducting an appraisal of all the University's activities, financial and otherwise. This includes the activities of the Finance Office.

Will my query get passed from person to person?

In a small unit there is inevitably some degree of overlap between groups and we have taken account of this in drawing up the directory on the WorldWide Web. We hope that this will reduce to the minimum the need to pass your queries on from one person to another, although we cannot guarantee that this will never happen.
