Ceremony procedure and guidance: FAQs
The summer 2013 Award Ceremonies will be held in the week commencing 2nd July 2013. The Award Ceremonies will be held in Bath Abbey. During March all students, who we have been informed by departments may be ready to graduate in July, will be sent emails inviting them to attend an award ceremony and asking them to complete a webform accessed via www.bath.ac.uk/samis. No, please do not wait, you need to register with us as soon as possible. If you believe that there is any chance that you will complete in time for the ceremony, and you would like to attend, please complete the webform to inform us that you wish to attend. All students, as long as they respond by the deadline, are guaranteed a maximum of two guest tickets, but may request up to four. Please do not make any costly travel arrangements on the assumption that you will receive the additional tickets. Guest and student tickets will not be sent out. You will be notified by email and post the number of guest tickets that you have been allocated in early May. The tickets will be available for collection on the day of the Award Ceremony at registration. Naturally, due to their formal nature, the ceremonies are occasions which babies and young children are likely to find tedious. The University therefore recommends that any graduands or guests with child-care responsibilities seek alternative child-care arrangements. It is recognised that, on occasion, the circumstances of a graduating student may be such that it is necessary for a baby or young child to attend. In these instances, it is important that prior arrangements are made with the University. Due to the limited capacity of Bath Abbey, any child, over the age of three, attending must be allocated a guest ticket. Each baby or child must be accompanied by an adult guest. We regret that no prams or pushchairs can be allowed into Bath Abbey. Out of consideration for others attending, we request that the adult guest and baby/child leave Bath Abbey in the event of any disruption. Yes, all graduands attending an Award Ceremony must wear University of Bath academic dress; you are able to hire this through www.gownhire.co.uk Ede and Ravenscroft will be present in Bath Pavilion for students to have individual or family photographs taken. These can be organised in advance through their website www.gownhire.co.uk, alternatively you can arrange them on the day of your ceremony. For information on any department photographs you will have to contact your department. If you owe less that £1000 you will still be allowed to take part in the ceremony but you will not receive your certificate until you have fully paid. If you owe more than £1000 then it is at the discretion of the Academic Registrar whether or not you will be allowed to take part in the ceremony. If you do not attend your Award Ceremony then your certificate will be sent out in the week following the ceremony to the address that you requested when completing the webform. All UK certificates are sent out 2nd class and all overseas certificates are sent by Royal Mail airmail. If you do not complete in time we will take your name of our list and you will be automatically invited to the next set of ceremonies in winter 2013. If you fail part of your course and do not therefore recieve the award your were aiming for, but are awarded an exit award such as a Postgraduate Diploma instead, you will no longer be eligible to attend the award ceremonies. Please see our "Student Eligibility and attendence" section for details No. The Award Ceremonies are split by department and faculty and therefore you can only graduate in the ceremony that you have been specified. Graduands are only eligible to attend the set of ceremonies immediately after their award is approved, therefore if your award is approved on or before the 26 June 2013 then you are only eligible to attend the ceremonies in July 2013. If you feel that you can demonstrate exceptional reasons why you should be permitted to defer then please contact us in writing. There is very limited parking around Bath Abbey and so it is suggested that you park at the University campus and then take the bus into the centre of Bath. Parking on campus will be free during the Award Ceremonies. Please see the Ceremony timings section of the website for a complete list of timings. Yes. All graduands need to register before their ceremony. It is at registration that you will be given your tickets and seat number. You will not be able to gain access to Bath Abbey for your ceremony if you have not registered. You will be able to collect your gown on the day of the ceremony from Bath Pavilion. No. All graduands will be allocated a seat. It is imperative that you sit in the correct seat as this is the order that you will be called up to collect your certificate. No. Guest seating is free and therefore seats are on a first come first served basis. When you register you will be given a set of notes of what will happen during the ceremony. These are also available on the procedures section of this website. If you attend your Award Ceremony, you will receive your certificate when you are called up on stage, if you do not attend the ceremony it will be sent to you. Refreshments are not provided at Bath Abbey or in Bath Pavilion, however, your department may arrange a reception for you before or after your ceremony, you should contact your department regarding this.
