MSS Release - June 2013

Updates to Manager Self Service will generally be introduced on a quarterly basis and the details for the latest release are as follows.

Manager Self Service will now display the preferred name of the employee, for example William Gates, might appear as Bill Gates.

The MSS Home Page has been updated and new functionality has been introduced, including the ability to upload SDPR, Probationary Reviews and Fit Notes.

The names of the new links on the homepage are described below, but please feel free to login and explore for yourself.

New Functionality

Holiday

Name of Link: Bank Holiday – Not Taken

This enables managers to ‘remove’ bank holidays for their staff when they have not been used. This functionality is particularly useful for those employees on term-time only contracts and for those part-timers that choose to work a different day in the week in which a bank holiday falls. Guidance

Personal Information

Document Management

This screen is accessed by the Document Management tab, which is towards the centre of the MSS Home Page. Guidance

Name of Link:  View Scanned Fit Note
Once uploaded the fit note can be viewed via this link

Fit notes can be scanned and uploaded against the absence. Once uploaded, the hardcopy fit note should be annotated that it has been scanned, then sent to Payroll in an envelope marked “Confidential”.

Nudges

These are automated notifications using information in iTrent to provide reminders/notifications to managers and staff.

Initially these will be for new starters, leavers and sickness absence, but more ‘nudges’ will be phased in over the coming months including: Induction, Probation, SDPR and Expiry of Fixed Term Contracts.

Future Developments for iTrent

The following developments are already in the pipeline, but if you have any suggestions or requests for future releases, please let us know.

E-Timesheets

This will enable timesheets to be completed electronically and workflowed through the authorisation process for hourly paid staff and also additional hours claim forms.

Annual Leave booking in Hours

At present, annual leave can only be booked in days or half days, which can leave residual hours of entitlement. The functionality will be updated to enabling annual leave bookings of part-days, in hours.

Flexible Working Policy

The absence reasons within the Flexible Working Policy will be incorporated into iTrent, via ESS and MSS as appropriate.
