Documents
A web page is not a standalone document; rather it is a piece of information linked to other pieces of information. Sometimes we need to display documents on the web which have a particular status, such as a policy or a procedure.
What to include with your document
- A correct filename (all lower-case, no underscores, no version information), e.g. purchasing-guidelines.pdf
- A summary of what the document is about
- A page title
Formatting your document
- Follow the Visual Identity for Print
- Use accessible layout (no centring, uppercase text or underlining)
- Use accessible colour formatting
When not to use PDFs
- If the information is intended to be read online
- If another content type could be used instead, i.e. a normal web page
When to use PDFs
- When a document needs to be downloaded, read offline or printed
- If a document is more than 5 pages long
- When attaching a document to an email
- When you need to preserve the formatting
- Instead of Microsoft Office documents (Word, Excel, PowerPoint, Publisher)
