I hope that you are one of the over 1,500 staff already using the improved Employee Self Service (ESS) that is available through the University’s upgraded iTrent HR and Payroll system. If you haven’t had a chance to look at it yet, the system can be easily accessed on the iTrent Self Service page, by clicking on the Employee Self Service login link.
We need everyone to check and correct their personal details so that the information on the iTrent system is as accurate and up-to-date as it can be. We would be grateful if all staff could have updated all their records by 30 January 2012:
If you click on the personal details ‘button’ on the left hand side of the first page; then, on the second page, click into each of the buttons on the left hand side – personal information, sensitive information, addresses etc. – this will take you through all of the information that needs to be checked.
Next step…MSS
Following the successful transfer to iTrent for paying all staff and providing ESS, the next step is to introduce Manager Self Service (MSS) for all managers within the University. MSS will give line managers secure access to view a range of specific information on the iTrent System on the staff that they manage. This is not new information to managers but they will now be able to view it directly, rather than having to request a report from HR.
Managers will be able to access only specific information from iTrent and only on the staff that they manage. For example, managers will not be able to view sensitive information such as the protected characteristics of their staff (e.g. disability, gender, race, age, etc).
Managers will be required to go through a registration process before they are able to use the new MSS system. A lot of work has gone into setting up security processes so that all data will be secure.
In the coming month we will be working with managers to check the reporting lines of all employees in the University, which is critical to setting up MSS.
The introduction of view-only information for managers is planned to start from early March 2012, subject to sufficient numbers of line managers completing the registration process.
