Implications for teaching timetable of new arrangements for examinations rescheduled to Monday 4 and Tuesday 5 February

As previously announced all teaching and other activities scheduled for Monday 4 and Tuesday 5 February have been cancelled due to the rescheduling of postponed examinations.

To ensure that appropriate examination and assessment is in place for all relevant programmes of study it has been necessary to create some regrettable disruption to the teaching programme.

This message provides further detail about the implications of this for staff and students.

  • What this means for all teaching and other activities previously scheduled for these two days.
  • The steps the Central Timetabling Office (CTO) is taking to bring timetables and the Web Room Booking System up to date with the new arrangements.
  • Possible implications for bookings made for Saturday 2 and Sunday 3 February.

Activities scheduled for 4 and 5 February

  • ALL teaching (including that in departments’ own spaces) for Monday 4 and Tuesday 5 February is being deleted from the teaching timetable. The cancelled teaching arrangements will not be rescheduled by the CTO.
  • ALL ad hoc room bookings for centrally controlled rooms for Monday 4 and Tuesday 5 February are being cancelled. This will include all evening bookings.
  • Bookers will be notified of the cancellations via email by the end of Tuesday 29 January. Ad hoc room bookings due to take place when the University was closed due to adverse weather will not carry forward to 4/5 February and are considered cancelled.  These cancelled ad-hoc arrangements will not be rescheduled by the CTO.

Steps being taken by the Central Timetabling Office

In order to bring the teaching and room timetables up to date with the new arrangements for rescheduled examinations the following steps are being taken:

  • The Web Room Booking System will be closed until at least the end of Wednesday 30 January.
  • There will be no access to room, programme and unit timetable web pages until Wednesday 30 January at the earliest.
  • All room bookings made via the Web Room Booking System for Monday 4 and Tuesday 5 February will be cancelled and bookers notified via the automated confirmation email service.
  • All room bookings made directly with the CTO will be cancelled and bookers notified by email.
  • CTO will cancel all teaching activities due to take place on Monday 4 and Tuesday 5 February  and inform departments.
  • Once these steps have been completed the Web Room Booking System will be reopened.

Important note regarding any space showing as available on Monday 4 and 5 February once new arrangements for postponed examinations have been put in place

A limited amount of space will show as available for booking by University staff only on the Web Room Booking System when it reopens. University staff are requested not to book teaching space for any purpose on these days unless absolutely necessary.

Although teaching will not be rescheduled by the CTO, departments may consider alternative approaches.  Any alternative arrangements will be communicated to students by their department.

Possible implications for bookings made for Saturday 2 and Sunday 3 February

In order to allow for set-up of rooms for examinations to be held on 4 and 5 February, it is possible that some room bookings already confirmed for Saturday 2 and Sunday 3 February will need to be cancelled. This will be kept to the minimum required.
