How to book a room on the web
Enter in your BUCS username and password and press the 'Sign in' button.
This page is split into three sections - location, date and time.
Location - Enter in the
size of room you require. You can also select the room type (GTA stands
for General Teaching Accommodation). If you don't select a room type it
will show a list of all the rooms available. Depending on the size required
this could be a long list.
If there is a specific room you would like to book press the 'Click here to use a known room'. This will bring up a numerical list of all the rooms. To select one or more click in the 'Choose' box to the right of the room(s) you wish to book.
Date - Select the date
you wish to book a room from the calendar. For a date in a different month
use either the drop down menu or the forward arrow.
If you wish to book a room in multiple weeks press the 'Click here to select multiple days/weeks' link. This will bring up a list of week starting dates. Select the weeks you wish to book a room and select the day it should run on.
Time - From the 'Preferred
start' drop down menu select the time you wish the booking to commence.
From the 'Duration' drop down menu select how long you wish the booking to run
* Please note that bookings finish at five past the hour so a duration of 1hr will in fact only be for 50mins.
When you are happy press the 'Next' button.
This shows a list of all the rooms that are available on the date and time you have requested. To select a room press the 'Select' button to the right of the room you wish to book.
For further information about the room click on the room name link. This will bring up a new window giving details about the room and photographs where available.
If you press the clock symbol this will bring up a list of the other times when the room is available on the date(s) you requested.
If you press the grid symbol this will bring up a new window showing you the room timetable on the date(s) you requested.
If no rooms are available a 'No Options Found' message will appear. Either press the 'Back' button and amend your request or press the 'Or click here to check for other times' link to give you a list of alternative start times on the date(s) you requested when a room is available for that duration.
The final stage asks you for information about the booking. You will see that your name, e-mail and telephone number details have already been inputted for you.
Please enter who you are making the booking for. This maybe for an academic or administrative department, a student society or a business centre.
You also need to enter your reason for booking a room. If this is for an ad-hoc teaching booking please enter the unit code this is for. If you are booking a room in order to show a video or a film please ensure that you are not infringing any copyright laws. You will then need to accept the 'Terms of booking' by selecting 'Yes' from the dropdown menu. The Terms are linked to from the Web Room Booking System or can be accessed here.
Once you are happy press the 'Make Booking' button. This will bring up a 'Room Booking Request Sent' message confirming your request has been sent to the Room Booking Office and details of your booking.
If you wish to book another room press the 'Book Another' button. Alternatively press the 'sign out' link to log off.
When your room booking has been confirmed you will receive a 'Booking Confirmation' e-mail from email@example.com. This outlines what room was requested and gives details of what has actually been booked. This will be the only correspondence you will receive from the Timetabling Office confirming your booking.
Once you have signed in, at the bottom of the page there is a link to 'my bookings'. This page lists all the current bookings you have and their status (unconfirmed, confirmed, cancelled).
If you need to cancel a booking press the 'Cancel' button next to the booking you wish to delete. You will then receive a cancellation e-mail office from firstname.lastname@example.org confirming the deletion.
Please note that the Committee Rooms should only be booked for academic and administrative departmental meetings. We will not accept any bookings for teaching in these rooms.
Bookings between 08:15-19:05, Mon-Fri, for dates in weeks 19-52 will not be confirmed until after the final semester 2 timetable has been finalised.
