How do I find the Cite While You Write toolbar in Word?

Using EndNote Online on a campus workstation: the Cite While You Write toolbar in Word is already available as part of the campus wide installation of EndNote Desktop. It will be set on the Word ribbon as EndNote Desktop for use with EndNote Desktop and will need to be changed to EndNote Online via the Preferences tool (you will need to enter the log in details for your EndNote Online account).

Off-campus: you will need to download the plug-in software from the EndNote Online pages yourself. Log in to your EndNote Online account as normal via www.myendnoteweb.com - then go to the Options tab and select Download installers. There are instructions and files for use with Windows and Mac. There is also a Firefox Extension you may wish to try.

Installed plug-in but can't find Endnote Online toolbar in Word? If you are using Microsoft Word 2010, try closing then re-opening this. If the toolbar still does not appear, click on File - Options. Why can't I edit or add new output styles?

How do I remove author names from parentheses/brackets?

  • Left-click/highlight the relevant in-text citation e.g. (Smith, 2006).
  • Click the Edit Citation(s)' button which is located within the Endnote Web toolbar (this may be visible as the 3rd icon from the left). A dialog box should appear.
  • Select the option, Exclude Author'. Then click OK. The author name(s) should disappear from within your highlighted citation but your other citations should remain as you last entered/amended them.
  • You can then manually enter the author name(s) outside of the parentheses/brackets as relevant.

  • Highlight the citation in your Word document.
  • Click the ‘Edit Citation(s)’ button within the EndNote toolbar in Word.

How do I change a title from upper-case to lower-case letters?

  • Keep your Word document open but connect to EndNote Online via Web of Science.

How do I correct the format of an institutional author's name?

If an institutional author's name does not appear correctly, the following steps might work:

  • Keep your Word document open but connect to EndNote Online via Web of Science.
  • Within EndNote Online, click the relevant title in your list of references.
  • Within the full reference page, click on the author. Enter a comma at the end of the author's name so that EndNote Online does not confuse it with an individual's name (i.e. featuring a first name and surname).
  • Click Save and keep EndNote Online open.
  • Within your Word document, highlight the relevant citation. Click the ‘Edit Citation(s)’ button within the EndNote toolbar.
  • Finally, click ‘edit reference” and ‘update from My Library’. Click ‘insert’ and ‘OK’.

What should I do if get this error message: EndNote Online does not currently support this service?

Check that you are able to log into EndNote Online to verify that your username and password are working. Then try to insert references in your Word document using the EndNote Online CWYW tool. If the error message repeats, verify the subscription details set in the CWYW Preferences tab:

  1. Click on EndNote tab in Word
  2. Click on Preferences
  3. Click on Applications tab
  4. Ensure that the URL field should be: http://www.myendnoteweb.com:80 - also delete the current email address and password fields and re-type login credentials. Do not copy/paste email Id and password.

If the issue persists open a new blank Word document and try to use EndNote Online CWYW plug-in. If you get the same error and this only happens in one document, then the document may have damaged EndNote field codes.

Please make a backup copy of the Word document. Then follow the instructions for cleaning up the field codes. After step 4 of these instructions if any references did not un-format, highlight them and try again.

If this still does not work, it is likely that reference has damaged field codes that cannot be recovered. This citation will need to be re-entered after you follow the rest of these steps. If the issue persists with all documents: perhaps you kept Internet Explorer open while you installed the EndNote Online plug-in. If so:

  1. Uninstall the plug-in and reboot the computer.
  2. Make sure that Internet Explorer is not open. You can verify from Windows Task Manager on this.
  3. Re-install the plug-in instructions.

What should I get an error message in Microsoft Word stating that I can not connect to EndNote Online?

Can I sync EndNote Desktop and EndNote Online so changes made in one are updated automatically in the other?

There is no method of linking an EndNote library saved in EndNote Desktop with an EndNote Online library. If you choose to use both these must be maintained as two separate unrelated databases. However, you can easily transfer references between an EndNote Desktop and EndNote Online Library using the EndNote integrated library options.

Can several people in my department open one EndNote Online library?

One solution would be to switch to using EndNote Online. Then, create a group in EndNote Onlineand use EndNote Online's “Manage My Groups” option to share these references. EndNote Online will then allow all these people to edit the same library.
