Forwarding your email using Outlook and Outlook Web App

In a small number of cases it can be useful to set up a forwarding rule so your University emails get forwarded to a non-University email account.

Before you start

We advise against forwarding your University email to a personal email account. The reasons against using forwarding are:

  1. Anyone anticipating receiving emails that contain personal data or information classified as Highly Restricted or Restricted should not forward their emails in line with the University Information Security policy.
  2. Forwarding email can be unreliable due to the security policies of email providers, meaning your important emails may not be delivered.

To discuss your needs and find a suitable alternative solution, contact the IT Service Desk.

The instructions below are included as there will be times when it does make sense to forward your emails (eg. a student on placement for a year).

Forwarding email in Outlook for Windows

  1. Click 'File'.
  2. Click 'Manage Rules and Alerts'.
  3. Click 'New Rule'.
  4. Click the 'Start from a blank rule' section.
  5. Click 'Apply rule on messages I receive'.
  6. Click 'Next'.
  7. Leave 'Step 1' blank so it will apply to all emails.
  8. Click 'Next'.
  9. Check 'Redirect it to people or public group'.
  10. In 'Step 2', Click 'people or public group'.
  11. In 'To' field, enter the address you want to forward your emails to.
  12. Click 'Next'.
  13. Add any exceptions you might want.
  14. Enter a name for the rule.
  15. Click 'Finish'.

Forwarding email in Outlook Web App

  1. Log into OWA.
  2. Click the cog icon.
  3. Click 'Options'.
  4. Click 'Organize email'.
  5. Click 'Inbox rules'.
  6. On the 'Inbox rules' tab, Click 'New', the + button.
  7. Click 'Create a new rule for arriving messages'.
  8. Enter a name for your rule.
  9. Under 'When the message arrives', Click 'Apply to all messages'.
  10. Under 'Do the following', Click 'Redirect the message to'.
  11. In 'To' field, enter the address you want to forward your emails to.
  12. Click 'OK'.
  13. Click 'Save'.
  14. Return to the 'Inbox Rules' tab.
  15. Click the arrow in a circle to return to main OWA tab.
  16. Sign out and Sign In for changes to take effect.
