Library Scanning Service for Academic Staff

Overview of the University of Bath Library Scanning service for providing copyright compliant full text digital copies of core readings for Moodle courses.

About the service

The University subscribes to the Copyright Licensing Agency’s (CLA) photocopying and scanning licence for higher education. This grants library staff permission to make digital copies of articles and chapters for embedding into your Moodle course(s) as long as the material meets the terms of the Licence.

How much full text can I include in Moodle?

If the reading you need is available in the Library's e-book or e-journal collections, you can link directly to it from Moodle.  For help in providing stable links, please refer to Linking to Library Resources or contact Tom Brumfit, Information Librarian for Document Delivery.

If the reading you need is not already available electronically, we can usually scan:

  • one chapter or 10% from a book, whichever is greater
  • one article or 10% from a journal issue, whichever is greater.  

We will provide you with a link to the scanned reading to include in your Moodle unit area. There is no limit on the number of scanned readings per unit. 

The Licence should not be used to facilitate the substitution of a course textbook - please refer to the CLA Guidelines

How long does it take to obtain a scanned item?

We ask for 4 weeks' notice when placing a request. We can often supply scans more quickly when a print copy of the book/journal required is available in the Library.

If you're working to a deadline, let us know – we will do our best to supply the readings you need in time.

Why can't I make digital copies for Moodle myself? Unless you hold the copyright of a text, or have explicit permission from the copyright holder, making a copy available in Moodle is likely to contravene copyright. The University holds a Copyright Licencing Agency (CLA) licence which grants limited permission to designated persons (i.e. library staff) to scan copyright protected publications for use in teaching.

The Library Scanning Service:

  • checks copyright compliance,
  • adds mandatory copyright notices, and
  • keeps the records required by the licence.

We provide high quality scans that include all the information students need to reference the reading accurately.

How to use the Scanning Service Requests for scanned readings for use in Moodle should be emailed to Tom Brumfit. You will need to give the following information:

  • full details of reading(s) needed
  • unit code and name
  • number of students taking the unit
  • duration of course, e.g., semester 1, semester 2 or both   This information must be recorded for all copies made under the CLA scanning licence. Failure to supply this information can cause delay.
