Student transcripts

The information that is included on a University of Bath transcript and how to request one.

The transcript

A transcript is the document that records in detail the academic attainment of each student studying a taught degree/award. It shows unit results for all years of study and award details.

At the end of each academic year, continuing students will be able to use SAMIS to:

Please note your Department or School will not produce hard copy transcripts as part of the feedback process. QA16 "Assessment, Marking and Feedback" describes the information you can expect to receive and when.

Getting a transcript

Finalist students

If you're completing your degree you'll receive a transcript around the time of your graduation ceremony, or it will be sent to you with your certificate if you're unable to attend.

If you're receiving an award which means that you will not attend a graduation ceremony, e.g. postgraduate diploma, postgraduate certificate, diploma of higher education or certificate of higher education, your transcript will be posted to you with your certificate.

Finalists may also use SAMIS to get the "self-service" transcript and "self-service" record of assessment before the award ceremony.

If a transcript is required for submission to an external organisation you can request one via the Bath Self-Service Portal.

Non-finalist students

If you'd like to have a hard copy of your interim results you should log on to SAMIS and generate a "self-service" transcript as a pdf and/or a "self-service" record of assessment as a pdf.

If a transcript is required for submission to an external organisation you can request one via the Bath Self-Service Portal.

Exchange/visiting students

If you're studying at the University of Bath as an exchange/visiting student your transcript will be issued to you by International Mobility and you should contact the International Mobility team if you have any questions.

Duplicate transcripts

If you have left the University and you require a duplicate transcript, or multiple copies, you should make your request by emailing (transcripts@bath.ac.uk).

Please provide:

  • a scan of either your passport or driving licence (photo ID) for identification purposes

and the following information:

  • Family name
  • Family name at time of award (if different)
  • Forename
  • Date of birth
  • Student number
  • Faculty/Department/School
  • Degree programme/Award title
  • Year of graduation/Date of award/date of leaving
  • Address (for delivery of transcript)
  • Contact email address
  • Contact telephone number
  • Number of copies required

Verification

If you are an employer or other party seeking a reference or verification of a certificate or transcript, you can arrange for an award to be verified.

What will be shown on a transcript

  • Programme title: this will include a reference to any placement or study abroad activity you have undertaken.
  • Name of the award you will achieve on graduating.
  • The award classification and the date of the award.
  • The transcript contains unit results for all relevant years but no detail of individual items of assessment or re-assessment marks. The transcript will not show any details of mitigation grades where they are stored in SAMIS.

An example of a transcript

  • If you are graduating from a course which falls under the NFA regulations your transcript will show the credit weighted average for each part & stage along with the percentage contribution towards the overall programme average.

  • Where students have left without receiving an award this will show as "no award".

What will be shown on a record of assessment

Although you will not routinely receive a record of assessment you can generate a "self-service" record of assessment as a pdf, if you wish to obtain a copy of your marks/grades for individual items of assessment .

  • The record of assessment contains unit results for all relevant years. For units taken before 2009/10 no details of mitigation grades stored on SAMIS will be shown; in addition NO grade description information will be displayed for any individual items of assessment. For units taken in 2009/10 and later details of mitigation grades as stored in SAMIS will be shown, along with the grade descriptions for ALL individual items of assessment.

An example of the record of assessment

  • If you are graduating from a course which falls under the NFA regulations the record of assessment will show the credit weighted average for each part & stage along with the percentage contribution towards the overall programme average.

  • If you are leaving the University without receiving an award this will show as "no award".

What will be on the self-service transcript/record of assessment

  • These documents will show the same information as the transcript and record of assessment, but they will be labelled as "Student Generated Transcript" and "Student Generated Record of Assessment", respectively.
  • The documents will not include a signature.
  • The documents will contain the following information prominently displayed:
    "This document has been generated electronically by the named student from the University's records. To verify the authenticity of the information in this document you are advised to contact the University of Bath. Further information is provided on the University website at https://www.bath.ac.uk/guides/verify-an-award/."

How IMCs will be shown on a transcript and record of assessment

Individual Mitigating Circumstances (IMCs) are described in the guide Reporting individual mitigating circumstances to the University.

The University has agreed that:

  • a transcript (including a "self-service" transcript) will not show detail of the mitigation grade descriptions stored on SAMIS (The University's Student Record System).

  • the record of assessment (and "self-service" record of assessement) will show mitigation grade descriptions stored on SAMIS if the units were taken in 2009/10 and beyond. If the units were taken prior to 2009/10 the detail of any mitigation grade descriptions stored on SAMIS will not be shown.

  • If you were a student who started prior to 2009/10 the following statement will be displayed at the bottom of the record of assessment and "self-service" record of assessment, irrespective of whether any mitigation information is stored on your SAMIS record:

The University implemented new policy and procedures relating to the processing and recording of individual mitigating circumstances (IMCs) in the 2009/10 academic year. For units taken prior to 2009/10 no detailed assessment item information is displayed. From 2009/10 onwards all assessment item information will be displayed and information about accepted IMCs, will be included where they exist.

  • If you are a student who started in 2009/10 and thereafter the following statement will be displayed at the bottom of the record of assessment and "self-service" record of assessment, irrespective of whether any mitigation information is stored on your SAMIS record:

The University implemented new policy and procedures relating to the processing and recording of individual mitigating circumstances (IMCs) in the 2009/10 academic year. From 2009/10 onwards all assessment item information is displayed and information about accepted IMCs will be included where they exist.

Transcripts are produced using a reporting tool called Business Objects/Webi. For each unit result, the transcript shows the mark and a grade description, e.g. 50 Pass. If mitigation grades are recorded on SAMIS, and where Senate has agreed that they should not be shown, such as the transcript and "self-service" transcript (see above), Business Objects/Webi will convert any mitigation grade descriptions as follows:

  • Pass: Mitigation. This will be shown as Pass. (For results at first attempt)

  • Pass after supplementary assessment: Mitigation. This will be shown as Pass after supplementary assessment. (For results at 2nd attempt)

  • Condoned pass: Mitigation. This will be shown as Condoned Pass. (For results at first attempt)

  • Condoned pass after supplementary assessment: Mitigation. This will be shown as Condoned pass after supp assessment. (For results at 2nd attempt)

  • Fail with mitigation. This will be shown as Fail. (For finalists where mitigation was a factor)

  • If a transcript is produced whilst a student is undergoing deferred assessment because of mitigation, then a unit result description of Mitigation will be shown as Not final outcome.
