Using meeting features in Microsoft Teams

Learn how to run effective online meetings, using the key features of Microsoft Teams.

Share your screen

You can present your entire desktop or an application window, such as a PowerPoint file or a whiteboard during an online meeting:

  1. Select the Share icon (a rectangle with an arrow inside)
  2. Choose what you want to show

Collaborate using the Whiteboard

Every Teams meeting has a dedicated whiteboard where participants have space to sketch together on a shared digital canvas:

  1. Select the Share icon (a rectangle with an arrow inside)
  2. In the Whiteboard section, select Microsoft Whiteboard

Any Teams meeting or call can be recorded. The recording is saved so you can share it securely with your colleagues.

Create virtual breakout rooms

If you are the meeting organiser, you can create breakout rooms to separate the participants of your meeting into sub-groups to facilitate discussions and brainstorming sessions:

  • Create up to 50 breakout rooms
  • Create, rename, and delete rooms
  • Recall all participants back to the main meeting at any time

Change your meeting background

You can blur your background or replace it with an image, so colleagues can’t see anything behind or around you. It can minimise distractions and provide a level of privacy.

Transcribe your meetings

Live transcription provides a written record of the spoken text that occurs during a scheduled Teams meeting. The text appears alongside the meeting video or audio in real-time, including the speaker's name (unless they have chosen to hide it) and a timestamp.
