Staff and some students have a choice of accounts to pay for printing and photocopying. Department and project accounts should be used for work-related printing and photocopying. These are charged back to the department or project in arrears.
In addition, all staff and students have a personal account, which must be in credit before selecting to pay for personal printing or photocopying. Credit your personal account using a credit card, debit card or PayPal.
Selecting accounts on a University printer
When you log into a printer, you are prompted to select an account to use if you do any photocopying. You are also prompted to select an account for each document you print.
Before the switch to PaperCut software in August 2024, the account you selected at login was used for printing. You no longer have to log out and in again if you need to charge print jobs to different accounts.
Make sure you select the correct account.
If you select your personal account and it does not have any credit, you will see the message, ‘You do not have sufficient balance to release the job(s).’
If this happens, you will need to change the account associated with the print job using the following steps.
- From the list of print jobs, press the arrow next to the document name.
- Now, press the pencil to the right of the ‘Account’ name.
- Select a department or project code, then press the ‘Print’.
Selecting an account for direct printing and large-format printing
If you use a ‘direct printer,’ where documents sent to print from a computer come straight out the printer, or you use a ‘large format printer’, otherwise known as a ‘plotter’, you must use the ‘Papercut User client’ to select an account on your computer for each document you print.
Follow the appropriate 'Setting up' guide on the University Print Service page for details on installing and using the Papercut User client software.
