Introduction

The Mulberry email software contains a number of features to enable people to work with email. This page will guide you through some of these features. Some of the features that can be used include:

Sharing mailboxes and folders with other people

This means you can allow other people who have accounts on the same server to have access to your mailboxes. You can restrict access to read-only or go further and give greater amounts of control over the mailbox.

Mulberry allows you to share a mailbox and then decide, to a fine degree of control, the level of access you can give other people.

To share a mailbox to other users on the server imaphost.bath.ac.uk:

  1. From the left hand pane, highlight the name of the mailbox you want to share.
  2. Display the properties of that mailbox by right-clicking and then clicking on the Details button. Then click on the Access Control List tab to display the access permissions for that mailbox.
  3. Click on New User and type the username of the person that you want to be able to access the mailbox, then click on OK. Choose the appropriate permissions for the username from the available graphical options (using the Key displayed on the right hand side). Be extremely careful if assigning permissions to other people. Lookup, Read and Seen will allow the user to locate the mailbox, read messages and mark them as seen, without affecting other settings.

Note that Mulberry does not check whether the username you enter is valid on the server. Always check carefully that you have correctly set up sharing to the user account you require.

You can also give access so that everybody who has an account on the server can read a particular mailbox. The email should be posted directly posted to a subfolder. There is a special pseudo-account called anyone which can be used specifically for this purpose.

To allow anyone to post to a sub-mailbox on the server imaphost.bath.ac.uk:

  1. Follow steps 1 and 2 above.
  2. In the Access Control List dialog box, add the New User anyone then choose the appropriate permission 'Post' from the options.

By default all email to your account is delivered to your main inbox. You then have the choice to move it to other folders manually. If you create a folder and want email to be delivered directly to it you must give that folder permissions for anyone to post to it, that is; set user anyone the Post permission.

Mulberry identities

Identities are sets of preferences that let you control a number of options in draft (outgoing) messages. This includes the email address used to indicate who the message was sent by, the address to which replies should be sent, the signature text inserted at the bottom of the message text, the mailbox to which a copy of the message should be saved when it is sent.

Please note: spoofing other individuals' addresses, that is deliberately passing yourself off as another person, is strictly prohibited.  You should be familiar with Computing Services policy regarding the use of email. All email transactions are logged in accordance with this policy and the Computer Systems Monitoring policy.

When you send a mail message, various parts of that message identify you as the sender. Your 'from address' and/or 'reply-to' address are an obvious part of this identity. If you have set up a signature, that will also be part of your identity. Mulberry allows the use of multiple identities. For example you can have a short informal signature when you email colleagues within your department or faculty and a more formal signature, possibly containing more detail, for when you correspond with people outside the University.

Another possibility would be if you used a shared mailbox or email list as an official correspondence address. In this case you might like to set up a separate identity not only with a different signature but also with a different 'reply-to' address. In this way, replies to any emails you may send will be replied to via the 'reply-to' address and not to your personal email address.

Creating identities

There are 2 ways in which you can create an identity,

Either:

  • Open a new outgoing message window, from the Identities box click on Default and select New Identity
  • Or click on File, then Preferences, click the Advanced button and then go to the Identities tab and Click Add.
    Enter a name for the new identity and complete the required boxes in the From, Reply-to, Sender, Options and Outgoing tabs as required. Click on OK. The new identity will now appear in the identities drop down list in the Draft (outgoing) message window.


 

NB: When creating or modifying identities, it is essential that the From email address is specified correctly. An incorrect From email address will mean our servers will refuse to deliver email and the bounce will not be able to be returned to the you, the sender. It is highly advisable, when you create a new identity, to send yourself a test message using it and when it arrives reply to it and check that you receive the reply.

Using identities

You can set the identities you want to use when composing a draft message. Simply choose the identity you wish to associate with the email from the drop-down list.

Tying identities to a specific mailbox

If you wish you can 'tie' an identity to a mailbox or a mail account so that use of that mailbox or account will trigger the use of the 'tied' identity when creating outgoing messages within that mailbox or account. This is useful if you manage a lot of email folders.

If you wish to tie an identity to a mailbox or folder, follow the instructions below:

  • Locate the mailbox in the Servers window (left hand pane).
  • Right click on the mailbox and select Details.
  • Check the Tie Identity box and select the identity you want tied to this mailbox from the drop down menu.
     

Checking quotas

To check your own personal quota and individual folder usage, highlight a folder or mailbox in the server window (left hand pane). Right click Details.

Click the Quota tab and expand the display to show the quota and current usage as above. If you have access to shared mailboxes you can check the quota allocated to them in exactly the same way.

To check the amount of space a particular folder of mailbox is using click the general tab and then click the Calculate button.

Using cabinets

Mulberry Cabinets provide a way for you to group sets of mailboxes together. Cabinets can be useful if you manage a lot of mailboxes or folders. In simple terms, a cabinet is a collection of aliases to different mailboxes. Mulberry provides several pre-defined cabinets with the user can choose to display or not. Control of which cabinets are displayed is via the Cabinet the pull-down menu in the main toolbar. Note - click an account in the Server window (left hand pane) for it to become active.

Here are the pre-defined cabinets and their actions.

Pre-defined Cabinet Description
Check Favorites Contains a list of mailboxes marked for automatic checking.
Open After Login Contains a list of mailboxes Mulberry will open automatically after startup.
Copy Messages To Contains a list of mailboxes that will appear in the Move To Mailbox pop-up menu in the Message window or the sub-menu under the Messages menu.
Copy Drafts To Contains a list of mailboxes that will appear in the Append to Mailbox sub-menu under the Draft menus.
Mark Seen on Close Mailboxes listed in this cabinet will automatically have all messages marked as seen when their mailbox windows are closed.
Auto Synchronise Contains a list of mailboxes that will be synchronized automatically when switching between connected and disconnected modes.
New Messages Contains a list of all mailboxes that have been marked for automatic checking, AND have been found to have new messages since they were last opened. This cabinet is a fast and convenient way to display a list of only those mailboxes that have new messages to be read.
Subscribed Contains a list of all mailboxes marked as subscribed in each mail account.
