About this update
When you share a file in SharePoint or OneDrive, you can create a sharing link to give someone access. Until now, those links have had no expiry date and anyone with the link could access the file indefinitely. From Thursday 18 June 2026, new sharing links will have a default expiry period:
- New sharing links will expire automatically after 180 days
- Existing links created before 18 June 2026 will not be affected
Why expiry dates are being introduced
This update helps to protect University files by reducing the risk of people retaining access after collaboration or a project has ended. It supports the University's approach to keeping information secure and is part of a wider programme of work to help staff manage and share files safely.
What you need to do
No immediate action is needed. When creating new sharing links after 18 June, be aware that they will expire after 180 days.
There are a few things worth preparing for:
- You can adjust the expiry date when creating a link if you need a different timeframe - find out how with the Microsoft guidance on managing sharing and permissions in OneDrive and SharePoint
- If you regularly share files with external partners or collaborators on longer-term projects, it is worth considering whether a shared Teams or SharePoint space would be a more reliable way to manage access
