The University's M365 environment provides secure, backed-up storage across OneDrive, Teams and SharePoint, making it easy to find, share and collaborate on files. All three services use the same security protections, so you can choose the service based on how the file will be used:
- OneDrive for your personal working files
- Teams for everyday team collaboration
- SharePoint for official or long-term documents (staff and Postgraduate Research Students)
Key highlights
Here are a few things to keep in mind when storing your files:
- Use Microsoft 365 (M365) as your primary storage platform
- If others need access to your files, use a shared space. Store shared work in Teams or SharePoint, not just in your OneDrive. Files stored only in your personal OneDrive won't be accessible to others if you leave the University
- Do not store files on your laptop, desktop, My Documents or your C drive. Files saved to these locations are not backed up. If something happens to your device, those files could be lost
- Do not use University storage to keep your own private photos or files
- Avoid using USB sticks or external drives. These can be lost or damaged and increase the risk of data loss or security issues
- Check if your work has specific requirements. If you're working with research data, you can find our additional guidance on research data storage on where and how it's stored
