Common queries about scanning using campus copy and print machines

Advice from Library Copy and Print staff about how to scan to your University email account or USB storage device and choosing the best file format for scanning

How to scan to your University email

  • From the home screen, select Scan
  • Place original face-down on the glass and close lid.
  • Select Scan to My University Email address
  • Alternatively, you can select to scan to your H: Drive or another email address.
  • Enter a Filename if you wish and select Scan
  • A preview of your scan will appear.
  • Select Start to scan the image
  • You will receive an email with the scan as a PDF attachment.

Please note that depending on the file size, your scan may take a few minutes to arrive.

How to Scan to a USB storage device

  • Place original face-down on the glass and close lid.
  • Insert your USB stick into the port at the front of the copier
  • You must insert the stick tilting up, rather than horizontally.
  • From the home screen, select the arrow to view more options.
  • Select Scan to USB Memory from the next page on the printer control screen
  • Enter a File Name and select Start
  • Unlike scanning to email, you will not see a preview of your scan.
  • Select Read-End when you have finished scanning all the pages you need:
  • The scan will be saved to your USB stick in PDF format.

Remember to remove your USB stick when you have finished!

Choosing your file format for scanning

The default file format for scanning is PDF. To change this, select Convert to Alternative file formats are:

  • PDF
  • Text Searchable PDF
  • JPG
  • TIFF

Select the file format you want from the control screen.

The Text Searchable PDF file type will let you copy, paste and search the scanned text in your document.
