Issuing of Certificates
1. In outline
This page provides information about the issuing of degree certificates at Award Ceremonies and at other times in the year. This section gives an outline, and is followed by one giving more detail. Contact details for further enquiries are provided at the end.
Two sets of Award Ceremonies are held by the University each year, in the summer, and in the winter just before Christmas.
In the autumn, eligible students (see Eligibility on the graduation website) are expected to attend the appropriate winter Award Ceremony and to receive their certificates there. Any certificates remaining after the Award Ceremonies will be posted, or can be collected by arrangement with the SREO.
In winter, through to March, graduating students will be offered the opportunity to have their certificates sent by (unregistered) post but may choose to collect them in person or to wait, if eligible, for the appropriate Award Ceremony.
In the summer, eligible students (see Eligibility on the Award Ceremonies website) are expected to attend the appropriate Award Ceremony and to receive their certificates there. Any certificates remaining after the Award Ceremonies will be posted, or can be collected by arrangement with the SREO.
It is the date of the Board of Studies' approval of an award which determines when a certificate is produced and offered. Graduating students will be considered to have graduated at the date of the Board of Studies which approves their awards.

2. In more detail
For all students who have awards approved by Boards of Studies from 1 August to 1 December
In September, an email will be sent to student's university email account by the SREO (if the student is eligible). First of all, this communication will:
- Ask the student to notify the SREO if he/she thinks they will not have an award approved in this period;
Secondly, if it is possible that an award will be approved in this period, students will be asked to assume they will be successful and to complete a web form on SAMIS on the web accordingly. This will:
- Offer the student the choice to have the certificate held for distribution at the appropriate forthcoming Award Ceremonies (if the student is eligible to attend - see eligibility on the Award ceremonies website), or posted to her/him after the Award Ceremonies, or held for collection after the Award Ceremonies;
- Ask the student to specify the address to which the certificate should be sent (if not collected);
- Warn students that if they owe money to the University at the end of their studies their certificates will not be issued until debts have been cleared;
- Notify those students eligible to attend a Award Ceremony of the dates of the Award Ceremonies;
- For eligible students, fill an invitation details to attend a Award Ceremony.
When the students response has been received, and after any debts have been cleared, the certificates will be held until the Award Ceremonies, with any remaining thereafter being posted or held in SREO for collection, according to the instructions received.
For all students who have awards approved by Boards of Studies from 2 December to end February:
In early April, a letter will be sent to the student's home address by the SREO. This letter will:
- Offer the student the choice to have the certificate posted to her/him immediately, held for collection, or, if applicable held until the appropriate Award Ceremony the following summer;
- Ask the student to specify the address to which the certificate should be sent;
- Warn students owing money to the University that certificates will not be issued until debts have been cleared;
- Notify those students eligible to attend a Award Ceremony of the dates of the Award Ceremonies;
- For eligible students, include an invitation to attend an Award Ceremony.
When the students response has been received, and after any debts have been cleared, the certificate will be posted, or held in SREO for collection, or held until the next appropriate Award Ceremony, according to the instructions received.

- Ask the student to specify the address to which the certificate should be sent (if not collected);
- Warn students that if they owe money to the University at the end of their studies their certificates will not be issued until debts have been cleared;
- Notify those students eligible to attend a Award Ceremony of the dates of the Award Ceremonies;
- For eligible students, include an invitation to attend a Award Ceremony.

Other information
Students attending the ceremony who have already been sent their certificates will be handed a folder containing only an explanatory note at the ceremony.
