When travelling overseas for University business, there is an increased risk of digital surveillance, device compromise, and loss or theft of equipment. These risks are higher in some destinations. To reduce risk, the University can provide temporary travel laptops and mobile phones prepared for overseas use.

This page highlights the key points to help you decide whether you need a travel device and what to do before, during and after travel.

When to request a travel device

Consider requesting a temporary University-managed laptop and/or phone if:

  • you are travelling to a destination with known cyber security risks
  • you will need to access University systems while abroad
  • your work involves handling sensitive, confidential or unpublished information

For higher risk travel, requests must be submitted at least three weeks before departure so devices can be prepared and appropriate security controls applied.

If you’re unsure whether your destination is higher risk, check UK Foreign Travel Advice and consider the sensitivity of the work you’ll be doing.

Why use a travel device

Loan travel devices are encrypted, issued without sensitive data stored locally, and can be remotely wiped if lost or compromised. They are managed separately from your everyday work equipment, which helps reduce exposure of University information during travel.

How to request a travel device

Use the form to Request a loan travel device from the University Service Desk (DDaT), including:

  • travel dates
  • destination(s)
  • whether you require a laptop, a phone or both

Devices are allocated on a first-come, first-served basis due to limited stock.

Before you travel

  1. Back up work files to approved University storage.
  2. Ensure no sensitive data is stored locally on the device (C: drive).
  3. Confirm the University VPN and Multi-Factor Authentication (MFA) work as expected.

While you are away

While abroad, use the loan device in line with IT Security Best Practice. This includes using VPN where required, avoiding public or shared computers, and always keeping the device with you.

When you return

On return to the UK, return the device promptly to the DDaT IT Service Desk. Save any files to University storage and change your passwords as soon as possible. Devices may be wiped or rebuilt after use.
