Updating your personal information

The University of Bath aims to be an inclusive university, where difference is celebrated, respected and encouraged. To help with this, we are asking all staff to review their personal details. By ensuring your personal details are current, you contribute to helping us better understand the diverse makeup of our community so we can tailor our support and initiatives accordingly. We are also asking for staff to check their contact information and emergency contact details so that we have the correct information if needed.

Please log-in to Employee Self-Service (ESS) and visit the ESS user guides for screen shots and directions. We are asking staff to specifically check and update the following areas within the ‘View Profile section’.

Employment - View or amend HESA details - Sensitive information:

  • Gender identity
  • Disability
  • Highest qualification held
  • Academic teaching qualification

  • Ethnic origin
  • Sexual orientation

Personal - Contact information:

  • UK Home address
  • Mobile telephone (used for emergency SMS). Please refer to the guidance on receiving alerts in an emergency on how to format your mobile number correctly.
  • Personal Email
  • Friends and family - Emergency contact

Why am I being asked to update this information?

Complete and accurate data is critical to allowing us to properly manage and support our staff and meet our statutory requirements under GDPR regulations. Being able to contact staff or their next of kin by phone, email and home address is critically important where there is an emergency, or we need to communicate key information to you. Further details on how the University collects and uses your data and how it meets its data protection obligations can be found in the Workforce Data Protection and Privacy Statement

What is HESA?

Each year the University is required to return statistical employee data to the Higher Education Statistics Agency (HESA) - all data is anonymised and collated. The data collated by HESA is required for higher education data and statistics. This data informs a variety of areas including league tables, and many measures that influence rankings within the sector are drawn from this data. Why am I being asked to disclose personal information?

We value, promote and celebrate inclusion, challenging discrimination and putting equality, diversity and belonging at the heart of everything we do. We aim to be an inclusive university, where difference is celebrated, respected and encouraged. Having the correct information on protected characteristics helps us to do this.

In addition, HESA (as detailed above) asks the University to provide data regarding the diversity of the workforce. HESA also predetermines the drop-down menu for the types of disabilities.

After logging into Employee Self-Service (ESS), you will be able to review and update your personal information by following the ESS User guides

How can I review and update my Academic Teaching Qualifications?

More information on Academic Teaching Qualifications can be found on the HESA website. Please forward a copy of your academic teaching qualification to hr-operations@bath.ac.uk so that a copy can be retained on your personal file.
