Digital recording and transcription of formal meetings

Guidance for staff on how formal meetings are recorded.


Policy


The University uses digital recording and transcription of notes for formal meetings. Providing all parties involved have given their consent, a recording device will be used at meetings to provide an accurate and complete record of the discussions.

Data − in terms of the digital recording of the meeting − is stored on a secure hosted server for a period of 45 days, after which it is permanently deleted.

Once the transcribed notes have been received, all parties involved will be given five days to consider and verify them. Following this, the transcribed notes will be retained securely and the recording will be permanently deleted from the University systems.
