Closing the feedback loop for unit convenors

The QA51 requirements, plus ways to enhance practice for closing the feedback loop after Online Unit Evaluations and informal mid-unit feedback.

Online Unit Evaluations (OUEs)

QA51 requirements of unit convenors for OUEs

  • Complete your response to the OUE feedback within eight weeks of the end of the unit and share with the Director of Studies (DoS) and programme administrator
  • If response rates are less than 30%, email students to let them know how you will respond to any feedback you receive

This infographic summarises the OUE feedback cycle, QA51 expectations for unit convenors, and advice from students.

Enhanced practice for OUEs

Attend and discuss OUE feedback at the Department or School Learning and Teaching Quality Committee (D/SLTQC) to make sure student feedback for continuing students is considered as part of planning for their next year of study.

Speaking to students about their feedback

Use these top tips for speaking to your students about how their input has been considered, what changes have been made, and the impact of those changes:

  • at the beginning of your unit, tell students how feedback from previous cohorts has been used to improve their experience using optional template PowerPoint slides
  • take ten minutes in the class after your mid-unit stop-start-continue evaluation to summarise the key student points and how you will respond to them
  • offer to speak with students about their feedback as part of your office hours
  • when you leave time towards the end of your unit for students to complete the OUEs, remind them of:
    • how student feedback has been used to improve their experience
    • how you have acted on the feedback you received during the mid-unit evaluation
  • be clear if there are issues that you are unable to take action on and explain why, but don’t play the ‘blame game’
  • promote the work of the academic representatives and the Staff / Student Liaison Committee (SSLC) if students raise issues that are beyond the scope of your unit

Completing the Online Unit Evaluation response form

Explain to students where your response to their OUEs will be found and when.

Complete the QA51 Online Unit Evaluation response form, outlining your response to the OUE results. Send it to your programme administrator or DoS to include in the Moodle repository.

Make sure any key issues raised from student feedback beyond the scope of your unit are reported to the DLTQC for consideration by the course team.

If there are bigger issues, consider creating an ad-hoc working group with academic reps or students on the unit to explore the feedback and co-create solutions with you. Promote the work of the academic reps and support them to communicate with your cohort and with you.

Mid-unit stop-start-continue evaluations

Getting the basics right for mid-unit evaluations

Share your response to the feedback on Moodle before the next teaching session and let students know where they can find it.

Enhance practice for mid-unit evaluations

  • Leave time in a teaching session to discuss the feedback you received and what you will do with it
  • Leave time in class for students to discuss and make sense of the feedback with you and decide on solutions
  • Develop 'shout-out' slides to be shown during teaching breaks that highlight changes made based on student feedback
